Cancellation and Refund Policy

This policy outlines the conditions under which cancellations and refunds are processed for bookings made through Japan Experience Tours & Travel Co. Ltd.

1. General Rules
  • How to Cancel: All cancellations must be made through our official website or in writing by email to: info@japextours.com.
  • Unused Services: No refunds will be issued for partially used tours or services.
  • Refund Method: Refunds, where applicable, will be processed via the original payment method (Stripe).
  • Travel Insurance: We strongly recommend all travelers purchase comprehensive travel insurance covering cancellations, medical expenses, and lost belongings.
2. Cancellations by Customers
  • More than 14 days before the tour date: Full refund (excluding any non-refundable deposit, if applicable).
  • 14 to 8 days before the tour date: 50% refund of the tour price.
  • 7 days or less before the tour date or in case of a no-show: No refund will be issued.
Late Arrivals
  • Travelers must arrive at the meeting point at least 10 minutes before the scheduled start time.
  • A maximum waiting period of 1 hour will be observed. If you arrive late within that window, the tour will proceed but may be shortened accordingly.
  • If you fail to arrive or contact us within 1 hour of the start time, it will be considered a no-show, and no refund will be provided.
3. Cancellations by the Company or Guide

If we cancel a tour due to severe weather, guide illness, safety concerns, or other unforeseen circumstances, you will be offered a choice between:

  1. A full refund, or
  2. An alternative tour or date, subject to availability.
4. Force Majeure

Neither the Company nor the Supplier (Guide) shall be liable for cancellations or changes caused by events beyond reasonable control, including but not limited to:

  • Natural disasters (earthquakes, floods, typhoons, etc.).
  • Epidemics, pandemics, or public health emergencies.
  • Transportation strikes or government restrictions.
  • Acts of war, terrorism, or civil unrest.

In such cases, the Company will make reasonable efforts to offer alternative arrangements or partial refunds, depending on recoverable costs.

5. Refund Process
  • All refund requests must be submitted in writing to info@japextours.com or through the website.
  • Refunds will be processed within 14 business days of confirmation.
  • Any transaction fees, bank charges, or payment processing costs may be deducted from the refunded amount.
6. Changes to Bookings
a) Changes Requested by You (The Traveler)

Once a booking is confirmed, any request to change the date, time, or number of participants is considered an amendment. All amendments are subject to:

  • Availability: Changes are dependent on the assigned guide's availability.
  • Pricing Adjustments: Changing the number of participants will result in a price recalculation. An increase is subject to availability and additional cost, while a decrease will not be subject to cancellation fees.
b) Tour Customization

Many of our tours are flexible. Your guide may tailor certain aspects of the experience on the day (e.g., pacing, focusing on specific interests). This is offered at the guide's discretion. Significant, pre-arranged customizations should be discussed with us before booking.

c) Changes Made by Us
  • Minor Changes: We reserve the right to make minor changes to your tour (e.g., order of stops) without notice.
  • Significant Changes: In the rare event we must make a significant change (e.g., change of date or guide for urgent reasons), we will notify you promptly and offer you the choice of:Accepting the changed arrangements.Receiving a partial or full refund.
